The New Event Management and You

Greetings Retailers and HeroClix Enthusiasts!

With the recent launch of the new WizKids Event System and Player Registration, the time has come to delve a little deeper into both Event and Volunteer management.  Let’s start with Volunteer management.

In our last article, we left off with how a player could register and submit themselves as a Volunteer for their Venue.  Once a player has applied to be a volunteer for their Venue, it is up to the Venue to accept or reject them.  The next time the Venue logs in and looks at their Home page, they will see something like this:

As you can see, on the right-hand side of the screen there is an indication that a player has applied to help out as a volunteer.   There is also a drop down menu for the Venue to click on which will display the following results:

While these are fairly self-explanatory, we suggest selecting “Active” if you would like to accept the player as a volunteer for your Venue.  Click on “Update Volunteers” and you’re ready to go!

Congratulations! Your Venue now has a volunteer.  Now every time you create and schedule an event, any selected volunteers will be automatically added to that event:

Both Volunteers and Venues can create and schedule events.  Editing events is as simple as clicking on the event in question, and then the field within the event that you wish to change.

Once your event is ready to go, be sure to click on “Update Event” in the lower left-hand corner.  Now players can register and add themselves to your event!

Now you’re ready to go! Schedule your events, or have a volunteer schedule them for you and now players in your area will be able to search and add themselves, or you can add them when you report the event! The New Player Registration and You

Greetings WizKids Events Enthusiasts!

In a recent article we detailed how to set up events in the all-new WizKids Event System.  The inevitble question arose “When can players register in the new system?” The answer is now!

(We should note however that if you have utilized the Product Replacement system, you are already registered with that information in the Event System as well, so there’s no need to create another UserID.)

Step One: Go to HeroClix.com/Tournaments

When you arrive at the above webpage, you will be prompted to login.  However, we’re not there yet! Just below the login prompt, there is a button labelled “Create New Player Account”.  Click on that button and you’re on your way!

Step Two: Provide Your Information

On this page, you will fill out all of the information required to register your player account.  Be doubly sure that you enter everything correctly (e-mail, phone number, etc…) as this will be the means by which WizKids will contact and confirm your information!

When you’ve finished entering your information and double-checked it all, click the “Create Account” button on the right-hand side of the page.

Step Three: Activating Your Account

Once you’ve completed entering your information you will receive an e-mail with an activation code.  Return to HeroClix.com/Tournaments and log in using the Username provided and the password you selected as well as the confirmtion code provided, and activate your account!

Once you’ve entered this information and logged in, you’re good to go.  Congratulations!

Finding an Event

At the top of your page you should see three tabs, “Home”, “Search”, and “Settings”.  Select “Search” and you will see this webpage:

Enter the parameters of your search using the dropdown menus and spaces provided.  Hit the “Search” button and off you go! Your search results will look like this:

I Want to Help My Local Venue, How Do I Volunteer?

With the new Event System in place, Venues are fully enabled to run events without difficulty.  However, if you’d like to offer your support and a helping hand there is a way to volunteer!

Search for the Venue you’d like to volunteer at using the method above.  Once you’ve found the Venue you’re looking for, select it by clicking on its name.  Doing so will bring you to this page:

In the lower right-hand of the page, you will see if the Venue has already accepted volunteers, as well as a button you can use to submit yourself as a volunteer candidate for the Venue.  Once you’ve done so, you will be brought to this webpage:

The New WizKids Event System and You

Greetings Retailers and WizKids Events Enthusiasts!

In recent weeks there has been a lot of buzz about the new WizKids Event System and there have been a few questions as well.  This article will will de-mystify the process and prepare you with all you’ll need to know to get started!

By now those of you who have already registered will have received an email informing you of your ability to create events.  If so, please skip to Step Four below.

New to the WizKids Event System? Begin at Step One below!

Step One: Go to HeroClix.com/Tournaments

When you arrive at the above webpage, you will be prompted to login.  However, we’re not there yet! Just below the login prompt, there is a button labelled “Create New Venue Account”.  Click on that and you’re on your way!

Step Two: Provide Your Venue Information

On this page, you will fill out all of the information required to register your Venue.  Be doubly sure that you enter everything correctly (e-mail, phone number, etc…) as this will be the means by which WizKids will contact and confirm your information!

Be sure to pay close attention to the Venue Information section on the right of the screen; this information is partcularly important if your Venue is interested in running higher-profile Organized Play events like the Infinity Gauntlet.

Step Three: Activating Your Account

Once you’ve completed entering your information you will receive an e-mail with an activation code.  Return to HeroClix.com/Tournaments and log in with the Username provided and the password you selected.  Once you’ve logged in, enter the confirmtion code provided and activate your account!

Once activated your account is under review pending the ability to create events.  Your Venue Home screen will look like this:

Step Four: Creating and Registering Your Events

On the right  of the screen below you will notice a space for you to enter any House Rules your Venue and local community enjoys.  Once you’ve entered your House Rules here, they will remain visible on every event you create and will not change unless you (or your approved Volunteer) edit them.

Speaking of Volunteers, below the House Rules area you will see a prompt labelled “Allow Volunteers to Sign Up?”.  This is set to “Yes” as a default but you can change this at any time (for example after you’ve found a volunteer to run your events).

In the lower left corner of the webpage you will see the “Add Event” button.  Click on that and we’re on our way!

Once you’re on this screen, just fill out all of the relevant information and your event will be ready to go! Once created, your event will show up on your Account screen as well as in the Store/Event locator!

You also have the option of selecting an event from the Template drop down menu.  Have an event type your Venue runs often? Do you wish to repeat an event that your players enjoyed? Simply select the template and make whatever adjustments you need (day, time, etc…) and your event is ready to go!

Step Four (A): The Infinity Gauntlet!

If you’re a Venue participating in the Infinity Gauntlet Organized Play program you will be able to schedule your events using the Event Template dropdown menu!

 

Each month WizKids will automatically make the corresponding Event Template available to all participating Venues.

Simply select the appropriate event and fill in all of the necessary details and you will be ready to go!

We hope this has been helpful to you all.   We will be turning on event creation for all approved accounts on November 28th, 2011, so get ready for a whole new game!

The Infinity Gauntlet, WizKids Event System, and Beyond!

Greetings Retailers and WizKids Events Enthusiasts!

There has been a lot of buzz lately regarding our larger plans for events in 2012, not least of which our plans for the Infinity Gauntlet Organized Play series.  We’re hoping that by offering a broad overview (a “roadmap” if you will) that we can clear up some of the confusion had on these topics.

Venue Registration!

First of all, the deadline for registering your Venue in the WizKids Event system has been extended to Wednesday, November 30th, 2011.  We first made mention of this in an article back on October 28th, 2011 but we can understand how that may have gotten lost in the shuffle (TGIF!).

So you still have just over two weeks to make certain your Venue is registered.  As always, any questions, comments, or concerns you may have can be directed to HeroClixDeveloper@gmail.com.  For all of those who have already registered, thanks! You should be receiving confirmation that Event creation/registration has been opened soon! (More on this as we proceed)

Venue registration will be your doorway to ever increasing visibility as events you register will show up on our website as players search for more and more opportunities to play HeroClix! Venue registration is also an essential component for running the Infinity Gauntlet Organized Play series!  The WizKids Event System is your key to ever-increasing success in the HeroClix arena and will prove to be a valuable tool in your arsenal!

The Infinity Gauntlet!

We kick off our Tenth Anniversary in 2012 with a BANG! The Infinity Gauntlet is an “arcing” Organized Play (OP) series that spans eight (8!) months beginning in January 2012 and concluding with a titanic event in August of 2012.  Players will compete for prizes exclusive to this special OP series while attempting to assemble the fabled (and very powerful in-game) Infinity Gauntlet itself! With a plethora of never-before-offered participation prizes and incredible competitive prizes the Infinity Gauntlet will be the “It” event for more than the first half of the Tenth Anniversary.  For event-by-event details, please be sure to check our Infinity Gauntlet resource page!

Please note that Venues interested in participating in the Infinity Gauntlet events must purchase at least 4 cases of product from each of these three Marvel HeroClix expansions: The Incredible Hulk, Galactic Guardians, and The Mighty Avengers.  A minimum purchase of 4 cases of each unlocks access to purchase the following monthly Organized Play kits for Infinity Gauntlet:

  • Four (4) Cases of The Incredible Hulk unlocks Infinity Gauntlet months One and Two for purchase
  • Four (4) Cases of Galactic Guardians unlocks Infinity Gauntlet months Three, Four and Five for purchase
  • Four (4) Cases of The Mighty Avengers unlocks Infinity Gauntlet months Six, Seven and Eight for purchase

Of particular interest to note is that these case purchases will also qualify your Venue to purchase the standard OP kits for each of the expansions.  For example, purchasing four cases of The Incredible Hulk for Infinity Gauntlet months One and Two also qualifies you to purchase the Incredible Hulk OP kit (available with a minimum of two cases)! No matter how you calculate your product needs, be sure to order plenty for both your standard sales, regular OP offerings and the Infinity Gauntlet OP series! This is going to be big big BIG!!!

The WizKids Event System:

The WizKids Event System will be offering increasing functionality over the coming weeks. Once you’ve registered your Venue we will follow up shortly informing you that we’ve turned on Event creation for your Venue.  Look to another article soon on all of the details and steps on how that process will work for you.

Shortly after that, we will turn onthe Player Registration feature so that you can begin getting your players registered in the system.  This will be important when time comes to finally report your events within the system.

And shortly after that, we have some really cool features to open up for everyone, but this is all a lot to take in so we’re taking HeroClix-sized steps to ensure everyone’s on the same page first!  More on this as it develops!

Both Event creation and Player Registration will be activated before the end of 2011 so you will all have plenty of practice time to get familiar  with the WizKids Event System.  We’re confident that you are all going to love the new system but as always, any questions should be directed to HeroClixDeveloper@gmail.com.
